Responsibilities and Duties

Coordinates administrative functions to include business affairs, provider matters and managing projects. Regularly resolve politically sensitive problems and impacts the organization internally and externally.
1. Coordinates administrative clinical and academic functions in the Department.
a. Manages clinical and academic schedules for respective programs and providers (physicians and advance practice providers).
b. Coordinates communication with external and internal customers through phone reception, e-mail, pager, transcription, written correspondence, and direct communication.
c. Conducts general office operations through copying, filing, opening and sorting mail, faxing
d. Maintains credentialing and reappointment files for faculty and staff.
e. Coordinates travel plans, authorizations and reimbursement for assigned faculty /providers.
2. Maintains and develops system for tracking pertinent information including written materials necessary for program operations.
3. Prepares financial documents for approval and payment.
4. Coordinates office supply ordering. Maintains appropriate inventory levels of office supplies.
5. Coordinates program projects with respective Director.
6. Coordinates Departmental Compliance Activities.
7. Participates in the development of new programs. Works with multidisciplinary teams to develop patient education and community outreach.
8 .Assists with research initiatives.
9. Coordinates lab coat ordering and maintenance of lab coats for residents and faculty and staff.
10. This individual is accountable for communication and interaction with faculty, staff, patients, and families and all company representatives whether initiated in person or by telephone.
11. Other duties as assigned.

Project Management30X

1. Collects and analyzes information/data for project documents.
2. Secures information by completing needed data collection from available data bases/data sources.
3. Transcribes, formats, inputs, edits, retrieves, copies and transmits text data and graphic for information production.
4. Interprets and implements organizational rules, regulations, policies and procedures.
5. Coordinates multiple implementations projects simultaneously in a performance team environment.
6. Assist with departmental planning and work-flow in support of project implementation.

Program Communication20X

1. Communicates and interacts with faculty, staff, patients, internal organizational contacts, and all company representatives.
2. Works with multidisciplinary teams to develop patient education and community outreach activities.
3. Assists with research initiatives/innovation projects.
4. Coordinates designated provider recruitment activities.
5. Works directly with related staff within the department and across the organization per coordination /implementation of projects
6. Provides phone reception for designated programs and directs correspondence accordingly. Responds to patient and or research subject telephone calls, and inquiries.
7. Complete initial triage for patients/family phone calls and assure that care/service requirements are met per the caller#s needs. This individual demonstrates knowledge of services provided by faculty and staff in the primary program accountabilities.
8. Other duties as assigned.

Web Development/Outreach Support10X

1. Develop, maintain and update Departmental website including production of web content, in a manner that is appealing to targeted audience and in keeping with organizational parameters.
2. Proofs, copies and edits web content in its entirety.
3. Instrumentally involved with cross departmental team to maintain and develop master content for web.
4. Responsibly archives web-based information for future needs and reference.
5. Interacts cooperatively with key team members, clients and vendors for web updates and maintenance.
6. Supports planning and execution of designated outreach activities in collaboration with faculty, department administrator and others internal to the organization.
7. Liaison with established community relationships.

This individual is responsible for maintaining records for program expenses. Prepares all financial documents for approval and payment by the Department Administrator. Participates as directed by the Department Administrator in other financial tasks to include monitoring and reconciling accounts.

This job requires creative and critical thinking with the ability to work with all levels of employees. This person must have the ability to work independently while keeping necessary people well informed. This person will have input on program development and processes and decision making in conjunction with the Department Administrator.
