Responsibilities and Duties

Direct Administrative Support for Chief35X
  1. Manage the calendar for the Division Chief, including responding to meeting requests and coordinating meetings at the request of the Chief, for clinical, research and academic needs
  2. Coordinate scheduling of clinical staff annual performance evaluations
  3. Manage all travel for the Division Chief
  4. Manage the monthly division faculty meetings, to include agenda and slide preparation, management of guest presenters, and typing meeting minutes
  5. Coordinate any division faculty recruitment visits, including travel arrangements, itineraries, assisting in vetting visitors to all scheduled meetings during visits, and post-trip reimbursements
  6. Assist with faculty promotion and tenure process for faculty members being promoted within the division.
Clinical Schedule Management30X
  1. Prepare and communicate clinic and endoscopy cancellations to all stakeholders, including vacation, sick, or other conflicts
  2. Create, edit, and distribute yearly clinical schedules for GI faculty, including entering all schedules into the clinical scheduling software
  3. Primary contact for the clinical scheduling software system, including troubleshooting internal issues and working with the vendor to fix issues
Provide Administrative Support to Assigned Faculty Members20X
  1. Provide administrative support/assistance for faculty as assigned, including recredentialing, CV management, license/certification management, membership renewals
  2. Manage calendars for assigned faculty members, including adding clinical schedules and scheduling meetings with room reservations
  3. Coordinate travel and reimbursements for assigned faculty members
Administrative Support for Administrator10X
  1. Manage the calendar for the Division Administrator, including coordinating meetings at the request of the Administrator
  2. Assist with various human resource activities for the division
  3. Other duties as assigned per Division Administrator

  1. Maintain and organize confidential files, including all personnel files for the department. All files are of an extremely confidential nature.
  2. Sort department mail and faxes as needed
  3. Ensure Division facilities and assets are maintained and replaced as needed
  4. Serve as backup for clinical scheduling and on-call calendar entry
  5. Answer and triage phone calls
  6. Order necessary office supplies, as primary, after coordinating with other office staff
  7. All other duties as assigned in coordination with Division Chief or Administrator
