Responsibilities and Duties

  1.  Assists Administrator, and Fellowship coordinator in managing and scheduling M3, M4and Physician Assistant rotations.
  2.  Communication and informational email with  DEM rotation
  3.  Send clinics for each day of the rotation (cross referencing the away calendar and faculty call schedule)
  4.  Serve as point of contact for any
  5.  Communicate rotation lecture schedule
  6.  Service request for EMR access
  7.  Perfect Serve call completion 
Provides administrative support to Division Chief and Medical Director:30

1. Manage the Division Chief and Medical Director’s calendars and develop efficient systems and processes to maximize utility of Division Chief and Medical Director’s time. (E) 
2. Develop effective systems for processing Chief’s correspondence and tasks to ensure follow through on critical and time dependent activities. (E) 
3. Open, sort and prioritize mail for the Division Chief and Medical Director, taking particular note of upcoming deadlines and sensitive, confidential materials. (E) 
4. Coordinate, arrange and confirm national and international travel activities for scientific conferences, committee meetings, lectures and presentations for Division Chief and Medical Director. Ensure that presentations and meeting materials are finalized for conferences and lectures. 
5. Exercises independent judgment when coordinating the Division Chief’s and Medical Director’s schedule to determine priority in establishing appointments, meetings and conferences. 
6. Oversees maintenance of Division Chief’s and Medical Director files for correspondence, business operations and multiple committees. Develop and maintain tracking system for pending projects, assignments, and deadlines. 
7. Complete and submit check requests for travel, society memberships and other miscellaneous reimbursements. 
8. Reconcile travel and track travel expenditures and reimbursements received.

Personnel10

1. Manage documentation and provide support for all aspects of the Division Chief periodic academic review for all division faculty.
2. Coordinate scheduling of clinical staff annual performance evaluations.
3. Assist Division Chief with yearly attending schedule.
4. Work closely with Division Chief to coordinate any division faculty recruitment visits. Responsible for scheduling all travel arrangements, arranging and managing visitor’s itineraries, assisting in vetting visitors to all scheduled meeting during visits, and handling any post-trip reimbursements. (E)
5. Assist with faculty promotion and tenure process for faculty members being promoted within the division. Work with physicians to make sure CVs are up-to-date and in proper format, all documents are completed on time and everything is done as requested by the Promotion and Tenure Committee. Requires a high level of attention to detail. (E)
 6. Maintain division directory. (E) 

Other Miscellaneous duties and project as assigned10

1. Tackles special projects identified for special handling by the administrator (E); 
2. Answer triage telephone calls. Forward messages to appropriate individuals and follow up on calls as needed. 
3. Inventory and order supplies as needed. 
4. Sort and distribute mail and faxes for division faculty. 
5. Maintain schedule for DEM conference room. 
6. Other duties as assigned.
