Responsibilities and Duties

Provides a wide range of administrative responsibilities to support education programs30X
  1. Primary coordinator summer undergraduate research program (SURP) and postdoctoral trainee program for the department. Assists graduate program coordinator with the IPID program.
  2. Initiates required correspondence and agreements to affiliated departments and institutions as necessary. 
  3. Serves as program resource for web based data management programs. 
  4. Supports data management of faculty and student information as it relates to the education program. Prepares reports and preliminary recommendations based on data.
  5. Coordinates activities related to educational conferences, meetings, lectures, laboratory sessions, examinations and special events as directed by education curriculum, faculty continuing education events, and outreach activities.
  6. Coordinates special events such as retreats, banquets and other department-sponsored social gatherings as directed. 
  7. Assists in the development, implementation, and maintenance of schedules to meet division, department and program needs and requirements. 
  8. Facilitates onboarding, promotions, transfers, graduation and departures of students. 
  9. Creates, disseminates and monitors evaluations. 
  10. Attends institutional education committees as required. 
Manages recruitment, application and orientation process.20X
  1. Maintains current knowledge of ERAS in order to manipulate data, assist students and house officers with use of the system, and assists with rank order lists as needed. 
  2. Maintains current knowledge of policies, procedures and timelines. Advises house officers and students of recruitment process and timelines.
  3. Promptly processes and screens applications and documents, schedules interviews and manages recruitment materials and activities in a timely manner for the interview committees.
  4. Prepares letters of recommendations.
  5. Promotes program through student interest groups, web pages, and department socials.
  6. Coordinates and directs orientation of incoming trainees/students in a professional and timely manner and in accordance with regulatory requirements.
  7. Monitors compliance and licensing requirements of incoming interns and ensures deadlines are met. Advises students on requirements and important deadlines.
Maintains and coordinates activities required to meet institutional, program and board certification10
  1. Coordinates and prepares materials for appropriate accreditation. Exhibits working knowledge of policies of national boards organizations, common program and specialty requirements and/or COM standards.
  2. Exhibits working knowledge of institutional and policies, procedures and curricular requirements.
  3. Exhibits working knowledge of professional ethics, laws and regulations.
  4. Assists with establishment and implementation of program policies and procedures.
  5. Assists with completion of annual program assessment and program action plans.
  6. Maintains knowledge and ensures compliance required of outside organizations including, but not limited to, accrediting institutions, state licensing boards, specialty boards, immigration authorities, and training verification institutions.
  7. Obtains, verifies and completes necessary paperwork required by these organizations.
Acts as liaison between education program authority and recipients.10X
  1. Serves as frontline contact for the department's programs.
  2. Serves as key participant in accreditation site visits.
  3. Counsels students and postdocs on policies and procedures.
  4. Advises directors of the interpretation of program/accreditation requirements.
  5. Alerts directors of unusual evaluation submissions and other correspondence regarding students.
  6. Communicates and coordinates rotations for visiting students and observers. Ensures compliance and computer requirements are met prior to the person arriving for a rotation.
  7. Monitors morale of the program and makes suggestions as necessary.
Responsible for management of revenues and expenses.10X
  1. Knowledgeable of acceptable financial procedures demonstrating expertise in fiscal management of program.
  2. Prepares travel reimbursements.
  3. Monitors and orders supplies and equipment for programs using responsible fiscal judgement.
  4. Reconciles and maintains financial records as directed.

  1. Attends meetings and activities as well as other relevant program, institutional or outside committees/conferences. Participates in meetings and work groups as directed/requested.
  2. Performs work independently but receives direction and oversight from immediate supervisors, program and course directors, and staff.
  3. Seeks program specific certification and seeks mentorship when necessary.
  4. Proctors exams as directed.
Coordinates grant submissions and research activities10X
  1. Coordinate and complete the pre-award activities for departmental grants, working with Principal Investigators (PIs), graduate students, postdocs, and key personnel.
  2.  Prepare applications for submission to local and national funding sources including the gathering and preparation of supporting documentation, forms, budgets, and signatures, adhering to finding agency and UNMC Sponsored Programs Administration (SPA) Guidelines.
  3. Coordinates projects with departmental and campus accounting staff to ensure budget accuracy and reporting pre- and post award.
  4. Review drafts of proposals, including project narratives, budget, and other supporting documentation, in a timely manner to meet grant application deadlines.
  5. Assist faculty and department with identifying potential applicable grants, using resources like grant listings and automated databases; examines the terms and conditions of individual grants to confirm the organization is eligible; and provides guidance and assistance to investigators in the interpretation of funding agency regulations and requirements.
  6. Assist research leadership with development of specialization to improve operations and processes.
  7. Provide support to faculty in their research and academic endeavors including scheduling, laboratory ordering, travel coordinating, etc.
  8. Assist administrative manager and act as back-up for other support staff, and perform other duties as assigned.
