  1. Maintains the iEXCEL pricing infrastructure and updates after review and approval from iEXCEL Leadership.
  2. Monitors budgets for iEXCEL, including SIM-NE, Sorrell Clinical Skills Center and Foundation accounts and provides ongoing monthly financial reports to iEXCEL leadership
  3. Work with iEXCEL managers to create and send quotes and final invoices
  4. Complete payment transfers to correct cost center via journal entry
  5. Complete Foundation transfers and reimbursements from appropriate funding sources
  6. Serve as P-Card reconciler for iEXCEL.
  7. Prepares eShop orders, travel authorizations and travel expense reimbursements.
  8. Prepares and submits check and credit card deposit forms for UNMC cashier
  9. Submits final invoices into the UNMC Invoicing system and monitors for payment receipt.
  10. Maintain knowledge base about financial policies and procedures for UNMC.
  11. Assists administrator with budgetary requests from iEXCEL Managers to ensure iEXCEL staff have the necessary tools to perform their jobs by ordering and tracking office and other critical supplies.
  12. Process payments through ADIS for additional compensation and iEXCEL Innovation Awards as needed.1
  13. Monitors all iEXCEL staff travel to ensure compliance with policies and procedures14. Work with iEXCEL Assistant Vice Chancellor to calculate annual increases for personnel.

  1. Manage the hiring process of all department personnel including staff, students and volunteers 
  2. Responsible for complete and compliant maintenance of electronic personnel records for all department personnel including staff, students and volunteers 
  3. Responsible for coordinating onboarding, training and orientation into the department and UNMC. Ensure accurate completion of new hire paperwork, verification of employment eligibility, confirmation of salary and source, as well as required campus training
  4. Manage the separation of department personnel including staff, students and volunteers
  5. Assist in the development, interpretation, and communication of departmental policies and procedures.
  6. Submit requests for affiliate email accounts, coordinate access to Canvas, parking, keys, ID badges and ensures the completion of initial required compliance.
  7. Payroll coordinator for departmental faculty, staff, students and visiting personnel. Ensure employees are set up correctly in CATS. Work with Payroll department for any issues that may arise. Serve as resource to department with regard to payroll questions.
  8. Oversee FMLA requests, notifications and tracking. Assist employee with required FMLA paperwork. Track FMLA hours and submit to Employee Relations. Ensure employee’s return to work is submitted. Ensure hours used are entered in SAP, submit hours to Employee Relations to close the FMLA file.
  9. Creates iEXCEL staffing groups and sends out the initial annual evaluations for each individual employee to complete.

  1. Works closely with the iEXCEL leadership team to identify and build optimal relationships with key industry and military collaborators
  2. Works with iEXCEL leadership team to negotiate and implement contracts, CDAs and statements of work (SOWs and service agreements in cooperation with iEXCEL, UNMC Finance and UNeMed, etc.
  3. Updates contracts, CDA’s, quotes, invoices and collections in CRM (HubSpot)
  4. Maintenance of Financial Records while ensuring compliance with state and federal regulations, and accurately maintain financial ledgers according to regulatory standards.
  5. Prepare financial information required for grant submissions, input budget into grant system and oversee the grant budgets as awarded

Describe the budgetary accountabilities for this position:

Assists the Assistant Vice Chancellor, Clinical Simulation in monitoring the monthly budget and preparation for the annual budget as it relates to event and community engagement expenses. Close attention is required to eliminate budget overruns.

The decisions made be the person in this position have a large impact on the success of iEXCEL and the functioning of the Global Center. Decision making strengths will impact the level of business opportunities (revenue generation) that can be attracted.
