1. Serve as departmental subject matter expert for UNMC Department
of Pediatrics and CHRI procurement processes.
2. Responsive to customer, providing timely updates of procurement
projects.
3. Ensure purchasing and contract workflows follow UNMC
guidelines and policies, utilizing advanced skills and project
management tools.
4. Oversee procurement activities of department and CHRI personnel
as indicated, answer questions and provide guidance.

Division Administrative Support: General Academic Administrative Support30

1. Provide specialized administrative support for the Division Chiefs,
as requested. (E)
2. Demonstrate initiative, resourcefulness, writing skills and problemsolving
skills in applying a detailed knowledge of the responsibilities,
functions and underlying division structure. (E)
3. Maintain and coordinate Chiefs’ daily schedules and calendars.
Schedule meetings as requested. (E)
4. Promptly respond to all requests from the offices of the
Chancellor, Dean, Department and Children’s Nebraska and Nebraska
Medicine executives. (E)
5. Maintain customer confidence and protect operations by keeping
information confidential. (E)
6. Sort Divisions’ mail and faxes. Respond to correspondence that
does not require Chiefs’ attention. Appropriately route
correspondence for follow-up. (E)
7. Prepare original correspondence and correspondence from draft
requiring knowledge of university and division/departmental policies
and procedures. (E)
8. Arrange and organize division functions involving a variety of
groups and individuals. (E)
9. Compile data for special reports as directed (E)
10. Provide creative support and moderate technical support in the
preparation of electronic presentations for Division/Department
leadership. Requires workable knowledge of PowerPoint, Excel,
Word and basic Microsoft Office suite of products. (E)
11. Attend and record division meetings. Follow through on action
items/recommendations. Prepare and distribute both agendas and
minutes for said meetings. (E)
12. Track and compile receipt of information from the Division
Chiefs for special departmental projects. (E).
13. Attend and participate in Peds Administration support staff
meetings regularly. (E)
14. Assist with credentialing/privileging and recredentialing at
Nebraska Medicine and sites other than Children’s Nebraska. (E)
15. Assist with onboarding activities at Neb Med/UNMC. (E)
16. Provide back-up support to other divisions as needed. (E)
17. Comply with all division policies and procedures. (E)
18. Other tasks as assigned.

Division Administrative Support: Administrative Support Using UNMC Systems20

1. Process Help Desk related requests for Facilities, IT, etc. using
UNMC/Neb Med/CHMC systems. (E)
2. Process invoices using Management Services system. (E)
3. Process PCard transactions or work with department finance
office for processing. Reconciles PCard purchases and maintains
records. (E)
4. Process eShop orders. (E)
5. Process travel requests using Concur system, including division
faculty, and staff. (E)
6. Process travel and honorarium requests for visiting personnel.

Division Administrative Support: Clinical Operations Support Responsibilities10

 1. Coordinate physician activities between Nebraska Medicine/UNMC and Children’s Nebraska when applicable for each division. (E)
 2. Ensure call schedule and block schedule is properly input into Nebraska Medicine system if applicable. (E)
 3. Interface with the Neb Med inpatient units and the divisions as applicable. (E)
 4. Ensure badge access is properly set up and approved for all rotations at both Nebraska Medicine, Children’s Nebraska and other sites as applicable.

Conscious decision making about allocation of expenditures on cost centers of the division and tracking how the money is being spent. Order supplies and other items within a budget to keep the divisions running smoothly. Must follow UNMC and Children’s procurement/travel procedures.


What impact do the decisions/recommendations made by the position have on the department/campus?:

Errors made could interfere with the operation of the divisions. Errors may result in failed travel reimbursements or vendors not being paid for services.
