Responsibilities and Duties

Event Coordination & Client Services35X
  • Serve as the primary liaison for assigned events from initial inquiry through post-event follow-up.
  • Coordinate event logistics including room setup, catering, audiovisual needs, and rental equipment.
  • Assist clients with on-site set up of audio-visual tools and equipment.
  • Collaborate daily with exclusive caterer to confirm room set-up and food arrangements.
  • Conduct site tours and consultations with prospective clients.
  • Collaborate with internal departments, vendors, and service providers to ensure seamless event execution.
  • Ensure all events meet UNO and TAC facility policies, including alcohol service and food and beverage guidelines.
Administrative Support35X
  • Greet incoming guests and assist with inquiries through in person, phone calls and electronic communications.
  • Maintain accurate event records in scheduling and billing systems (e.g., EMS).
  • Assist with contract preparation, invoicing, and payment tracking.
  • Prepare daily event reports and communicate setup needs to facility staff.
  • Maintain client files, calendars, and event documentation.
  • Assist TAC Manager by creating awareness of facility repairs and maintenance and submit requests for repair as needed.
  • Assists the Manager with special projects as needed.
Facility Operations Support20X
  • Work closely with the Event & Facility Services Manager to ensure room configurations, cleanliness, and overall presentation standards are met.
  • Monitor events on-site to ensure client satisfaction and respond to any immediate needs or issues.
  • Assist with inventory management of event supplies and equipment.
Marketing & Business Development Support10X
  • Represent the TAC at campus and community events to promote usage of the facility.
  • Provide input for marketing strategies and materials, including social media content and brochures.
  • Participate in outreach to build relationships with new and returning clients

Knowledge Skills and Abilities


Demonstrated ability to coordinate events, support daily facility operations, and assist with financial and administrative processes. Strong customer service skills with the ability to communicate effectively with diverse clients and partners. Familiarity with vendor coordination, campus operations, and facility maintenance reporting. Working knowledge of event scheduling and billing systems, with experience in SAP or other enterprise financial systems preferred.

Uses sound judgment in addressing client inquiries, resolving scheduling conflicts, and supporting event or facility adjustments.
