Responsibilities and Duties

Coordinate Accreditation Efforts20X

Establishes timelines to meet deadlines and coordinates the collection of data across multiple sectors.

Coordinating, analyzing, interpreting data related to annual accreditation reports, self-study, comprehensive reaccreditation visits, and responses to accrediting agencies for CAEP accreditation and Nebraska Department of Education accreditation.

Ensuring the meeting of deadlines

Determining types and sources of information to analyze and organize and report in a timely manner.

Onboarding and Evaluation20X

Designs, implements, and evaluates the onboarding of all COE adjunct and full-time faculty each semester, which includes department onboarding activities, trainings, and technical assistance.

Stays current with policy changes and updates the design, implementation, and evaluation of onboarding activities.

Budget Monitoring and Purchasing15X

Monitors budget and facilitates purchasing, ordering, pays regular bills for assigned departments.

Reconciles P-cards for other COE departments.

Hiring and PACF Paperwork10X

Initiates hiring and PACF paperwork for all adjuncts within the College of Education each semester.

Point of Contact10X

Contact point for students, staff, and faculty within an assigned building for questions and concerns, or to direct them to the correct COE Coordinator.

Assesses needs and explains services, processes, procedures, and guidelines.

Handles direct or indirect requests/transactions/work orders/tasks and general support to all areas of the assigned building.

Assists in resolving problems and ensuring satisfactory resolutions.

Document and Database Management5X

Creates and maintains documents, letters, files, and databases for the department.

Building Schedule Maintenance5X

Maintains and updates the building schedule.

Assists with room requests, key requests, event reservations, building access and assignment of classes for assigned department(s) through CLSS.

For the assigned department(s) Coordinates, organizes, and takes minutes at meetings, and supports other department activities and functions.

Supports and collaborates with other COE OAs and the COE dean#s administrative associate to assist with other duties and responsibilities from other departments as assigned.

Requires a broad understanding of organizational operations, organizational procedures, and personnel. Able to handle confidential and sensitive material in a professional manner. Provides general secretarial and administrative support to a department or group of professionals under general supervision. Must be proficient in oral and written communication, basic mathematical calculations, basic computer literacy, as well as knowledgeable about a variety of software applications. Must be able to work independently and follow instructions.

When facilitating department productivity, it is critical to evaluate the large picture when making decisions and to carefully and strategically determine the impact of all decisions. Work with the department chair to ensure strategic planning efforts are put into place. Must be able to maintain a reliable and dependable attendance record. Work directly affects the College of Education and the departments within, therefore must be able to provide responsive and effective support.
