Administrative and Operational Support Responsibilities30X

Assist in managing and monitoring budgets and HR Paperwork for Student Affairs units, Enrollment Management, Admissions and Financial Aid. Develop summary spreadsheets and assist directors in Student Affairs with annual reports. Conduct and manage surveys, prepare reports, develop background information on policies, procedures, student information, budgets and basic operational analyses. Maintain/monitor the Associate Vice Chancellor’s calendar and schedules meetings and appointments; reserves meeting space. Takes notes/minutes and sets agendas as needed. Responsible for setting various student and campus group meetings. Attend CARE Team Meetings, assists with students in crisis, and coordinates absence notifications.

Executive Communication and Campus Relations25X

Communicate for the Associate Vice Chancellor on  and off campus, conveying sensitive or confidential information with tact and discretion; prepare internal and external correspondence.  Prepare, monitor and support necessary updates on the Student Affairs website and prepare other communication as needed.  Understands Student Affairs’ role in the University and appropriately responds to individuals and departments requesting information and assistance. Maintains awareness and where possible, involvement in campus activities to make timely decisions based on knowledge of campus procedures, activities, and climate.

Staff Development and Division Operations Coordination20X

Coordinate and oversees staff onboarding process in collaboration with unit managers/directors across Student Affairs, Admissions, and Enrollment Management.   Coordinate priority projects for Student Affairs as assigned by the Associate Vice Chancellor including as external relations coordinator for Student Affairs. Serves as the Chair of Social Committee.  Updates division staff on division procedures, meetings, staffing changes.

Event and National Student Exchange Coordination20X

Coordinate and plan annual campus events and awards Student Affairs including the Applauding Excellence Ceremony and the Nester Awards.  Oversee the National Student Exchange Program, including presentations and staffing at events, visiting student groups. Attends National Student Exchange events and documents and tracks student participation and placement. Accurately and efficiently supports students involved in the National Student Exchange.

Other Duties5

Perform other duties as assigned including occasionally supporting the Chief Enrollment Officer and Chief Marketing Communications Officer and collaborating with the Business Operations Specialist. Assists when needed within the Chancellor’s Administrative Office Suite

Is directly involved in exploring and implementing approaches for professional and social development, adhering to and mentoring staff on all University policies and procedures within the Division of Student Affairs. Ability to assist students, especially those with mental health or other concerns greatly affects the retention of a quality, diverse student body.
