Responsibilities and Duties

Budget Management25X

Oversees and maintains the department and URF/SSRP budgets, completes budget transfers, and prepares financial reports as requested by assigned department heads housed within the College of Arts and Sciences (stated above*).

Purchasing and Billing20X

Facilitates purchasing, ordering, pays regular bills, and invoices for assigned departments (stated above*). This includes specialty purchasing for areas such as glass blowing and ceramics.

Event Planning and Management20X

Planning and management of events for all departments housed within the College of Arts and Sciences. Responsible for assisting with contracts for events as necessary.

Building and Schedule Management15X

Assists the College of Arts and Sciences Deans Office with the maintenance of the building schedules, SEI evaluations, and is responsible for assisting college departments in entering class schedules into CLSS as requested.

Travel and Correspondence Management10X

Reconcile the purchasing and travel cards of the faculty housed within the assigned departments and programs within the College of Arts and Sciences (stated above**).

Administrative Duties3X

Performs administrative duties for the CAS Business Center. Contact point for students and faculty within an assigned building for questions and concerns, or to direct them to the correct CAS Business Center Coordinator. Assesses needs and explains services, processes, procedures, and guidelines. Handles direct or indirect requests/transactions/work orders/tasks and general support to the CAS Business Center. Assists in resolving problems and ensuring satisfactory resolutions.

Fine Arts Building Maintenance3X

Responsible for assisting in the Fine Arts Building reorganization and maintenance of classrooms, lockers, and the Walker Art Gallery.

Document Creation and Management2X

Creates documents in Word or uses predefined templates, form letters, and other large and complex databases of department records and services, ensures the accuracy and completeness of the data. Creates or maintains files in Excel and generates reports or outputs when necessary.

Cross Training and Other Duties2

Required to be cross trained with other CAS Center Coordinator duties, as they will assist with other duties as needed or in the event of an absence. Performs other related duties as assigned.

Requires a broad understanding of organizational operations, organizational procedures, and personnel. Able to handle confidential and sensitive material in a professional manner. Provides general secretarial and administrative support to a department or group of professionals under general supervision. Must be proficient in oral and written communication, basic mathematical calculations, basic computer literacy, as well as knowledgeable about a variety of software applications. Must be able to work independently and follow instructions.
