Responsibilities and Duties

Purchasing services - Library50X
  • Firm order materials of all types for the library collection,including maintaining OCLC holdings.
  • Manage firm order e-resource activation processes.
  • Track encumbrances and expenditures and balances for firm order funds.
  • Serve as primary contact for library questions on firm orders.
  • Retrieve, manipulate, and upload data from library and vendor systems for collection services reporting and analysis.
  • May have opportunities for continuing and professional development experiences.
Reporting/Data Management - TRIO40X
  • Assist with organization and maintenance of a specialized electronic database management system which includes departmental, office,and confidential student information.
  • Process student application and make updates as needed to application.
  • Enter, monitor, and update program data into the TRIO-SSS CRM dashboard.
  • Assist in the assurance of TRIO-SSS CRM dashboard, SIS, and Federal APR data accuracy prior to submission by the director.
  • Assist with preparation of SSS Annual Performance report,helping collate data for the director, as requested.
  • Develop & maintain understanding of TRIO regulations and federal reporting requirements.
  • May have opportunities to participate in professional development related to TRIO services.
General Office Services - TRIO10
  • Provide assistance for scheduled events and academic programs as needed.
  • Assist with composing and editing routine correspondence and various forms used by office.
  • Order needed office supplies and other purchases as needed for TRIO office.
  • Monitor student printing services.

  • Knowledge of acquisitions and accounting procedures such as ordering and receiving,reconciling accounts, creating and updating ledgers.
  • Expertise in Microsoft Office products.
  • Experience in budget analysis, procurement services, and other electronic data resource manipulation.
  • Familiarity with bibliographic data such as title, author, and edition, and ability to communicate about this information with others.
  • Ability to navigate online services, and to understand technical aspects of querying and extracting data from systems.

Interactions


This position is located across two different major student academic service areas of the university: The Library and the Loper Success Hub. The position is expected to regularly communicate with faculty and staff within those service areas, daily communicate with students served by its programs, and occasionally be in contact with other campus departments, both academic and student services.

This position is supervised by two positions: The Collection Services Librarian & Associate Professor and the Director of Student Support Services. Supervision is primarily indirect, with regular departmental meetings.
