Institute Portfolio Coordination and Execution40X
  • Develop and maintain dashboards and executive-level reporting tools for tracking workflow deliverables, KPIs, funding, staff surveys, and financial performance.
  • Oversee the Institute’s project reporting process by monitoring project data, coordinating with Institute project leads and staff to provide timely updates.
  • Develop and maintain executive dashboard of key business metrics pertaining to fund development, financial performance, project execution, and resource management goals.
  • Coordinate and monitor updates on the Institute’s strategic priorities within the University of Nebraska System’s tracking system.
  • Ensure timely reporting of initiative status, milestones, risks, and dependencies to support leadership decision-making.
  • Collaborate closely with the Executive Director’s direct reports to ensure follow-through on commitments, maintain alignment on organizational goals, and support effective internal communication.
Executive Office Project Management30X
  • Lead administrative and logistical support for the Board of Advisors and related committees.
  • Manage board functions, serving as the Institute’s interface to Board of Advisors.
  • Recommend and implement process improvements to enhance efficiency, streamline communication, and optimizing workflows across the Executive Office.
  • Transform meeting notes from the Executive Director’s key external meetings into action plans, deliverables, and timelines, while ensuring effective follow-through and accountability.
  • Track progress and follow-up actions and maintain systems to monitor completion across the Executive Director’s portfolio of work.
  • Support the development of Executive Director deliverables, including proofing manuscripts, conducting literature reviews and synthesizing information.
  • Assist with special projects and initiatives as requested by the Executive Director or Deputy Executive Director.

  • Manages complex scheduling and coordination of meetings for executive leadership to ensure strategic alignment with organizational priorities.
  • Coordinate internal communication from the Executive Director, including staff updates, memos, and executive messages that promote transparency and engagement.
  • Prepare, organize, and distribute materials for convenings and speaking engagements.
  • Arrange all aspects of travel arrangements for executive leadership, including itineraries and on-the-ground coordination when necessary.
  • Support the executive leadership’s planning and coordination of key organizational meetings, including all-staff meetings, leadership meetings, and major events.
  • Support development of Executive Director’s meeting and communication materials (e.g., draft/proof correspondence, reports, talking points, presentations).
  • Be available to external partners and staff in the absence of Executive Director and serve as an extension of the Executive Director to all external partners.
  • Act as a professional liaison to internal and external stakeholders, serving as an extension of the Executive Director when necessary and modeling discretion, diplomacy, and responsiveness.

Nature/Complexity of Work#

Attention to detail, accuracy, and sensitivity to confidential information, proficient written and oral communication skills, adept with computer technology, able to demonstrate effective time management skills. Knowledge of the University of Nebraska’s organizational structure as it relates to both administrative and support functions and interrelationships among the campuses and groups served is helpful in this position. The person must be able to handle multiple projects and timelines.

Know-How#

Proficiency using word processing, presentations, spreadsheet, database, and web or internet applications in a Windows environment is required. Experience in handling travel arrangements, calendaring, scheduling meetings, and taking meeting minutes is desired. Excellent written and oral communication skills and attention to detail and accuracy are essential.# Confidentiality is required. The employee has access to work-in-progress discussions and confidential and sensitive information. Institute leadership requires review before information is released by this position, but responsibility for error-free detail supporting analytical results and for taking appropriate steps to correct errors rests on the employee. The impact of errors is far-reaching.

Technical Skills#

Proficient knowledge of Microsoft Office software required. Advanced knowledge of Word and Excel is preferred. Adobe software knowledge for converting pdf documents to word documents and vice versa is essential. This position may need to train on tools to coordinate work, prepare data, process documentation, and create communication materials or informational presentations. This position must be willing to learn and utilize new technologies and keep current on technical skills and knowledge of university applications and systems.
